This policy applies to car hire, airport transfers, chauffeur services, intercity travel, corporate fleet services, heavy equipment rental, flight booking, and hotel booking in Nigeria.

This Cancellation Policy helps customers understand their rights before making payment. It also helps Ride Vendor Limited manage vehicles, drivers, equipment, partners, and booking schedules fairly.

Ride Vendor Limited understands that plans can change. Flights may shift, events may move, and project timelines may change. Therefore, we provide a clear cancellation process for our customers.

However, our services often require early preparation. We may assign a driver, reserve a vehicle, block a date, mobilise equipment, pay a third-party provider, or reject another booking because of your reservation.

For this reason, refund eligibility depends on the service type and cancellation notice period.

Refunds are processed only after approval.

Step 5: Receive Approved Refund

Approved refunds are processed through the original payment channel where possible.

For Paystack and Flutterwave payments, refunds usually take 3 to 7 business days after approval.

Bank holidays, card issuer delays, failed payment details, or processor reviews may extend this timeline.

3. Standard Car Hire Cancellation Schedule

This section applies to standard car hire bookings. It covers chauffeur-driven car hire, self-drive bookings, executive SUV rental, Toyota Prado hire, sedan hire, bus hire, and local vehicle rental services.

The refund amount depends on the time we receive your cancellation request.

Important Car Hire Notes

A booking is not confirmed until Ride Vendor Limited verifies payment.

A quotation does not reserve a vehicle.

Refund eligibility starts from the time your cancellation message is received by Ride Vendor Limited.

Self-drive approval may involve extra verification. Therefore, cancellation may also consider verification costs already incurred.

If the customer changes the pickup time, route, destination, or service duration, the booking may be repriced.

4. Airport Transfer Cancellation

This section applies to airport pickup, airport drop-off, hotel transfer, and flight-related road movement.

Airport transfer bookings require accurate timing. This is because our driver may need to arrive early, wait at the airport, or monitor flight movement.

The following cancellation schedule applies.

Flight Delays and Airport Waiting Time

Flight delays do not always count as cancellation. However, they may affect waiting time, driver scheduling, and extra charges.

Customers should inform Ride Vendor Limited once a flight is delayed, rescheduled, or cancelled.

If the driver is already at the airport or on the way, waiting fees may apply.

If the customer does not show up after a confirmed airport transfer, the no-show policy applies.

5. Heavy Equipment Rental Cancellation

This section applies to heavy equipment and machinery rental.

It covers forklifts, cranes, excavators, generators, trucks, haulage vehicles, farm equipment, lowbeds, tippers, and related equipment services.

Heavy equipment rental often requires mobilisation, inspection, operator scheduling, transport planning, fuel planning, and project coordination.

Because of this, cancellation terms are stricter than standard car hire.

Site Readiness and Access

Customers must ensure that the project site is ready before the agreed date.

This includes access road, loading area, safety clearance, site contact, permits, and proper work instructions.

If the equipment arrives and the site is not ready, the booking may count as used.

In such cases, Ride Vendor Limited may charge the full booking amount.

Operator and Mobilisation Costs

Where Ride Vendor Limited has already paid an operator, transporter, equipment owner, or logistics partner, those costs may reduce any refund.

If mobilisation has started, cancellation may not qualify for a refund.

6. Corporate Fleet Cancellation

Corporate fleet services are governed by individual contracts.

This applies to long-term vehicle rental, staff transport, monthly fleet supply, executive convoy services, project logistics, and business mobility support.

Each corporate agreement may have its own:

  • Notice period.

  • Refund clause.

  • Deposit rule.

  • Termination process.

  • Fleet replacement rule.

  • Damage clause.

  • Monthly billing terms.

  • Service-level agreement.

Where a signed contract exists, the contract will guide cancellation and refund decisions.

7. Flight & Hotel Booking Cancellation

Flight and hotel bookings are subject to airline, hotel, travel partner, and third-party provider policies.

Ride Vendor Limited may assist with booking, coordination, ticketing, hotel reservation, airport transfer, and travel support.

However, airlines and hotels control their own cancellation rules.

Flight Booking Cancellation

Flight refunds depend on the airline’s fare class, ticket type, route, timing, and policy.

  • Some tickets are refundable.

  • Some are partially refundable.

  • Others are non-refundable.

Airline penalties, fare differences, no-show charges, and administrative fees may apply.

Hotel Booking Cancellation

Some hotel bookings allow free cancellation. Others require partial or full payment.

Where the hotel charges a penalty, the customer is responsible for it.

Travel Partner Delays

Ride Vendor Limited is not responsible for airline delays, hotel policy changes, weather disruption, visa refusal, immigration issues, or third-party service failure.

However, we will support customers where possible.

A no-show occurs when a customer fails to appear, respond, or use a confirmed booking without proper cancellation.

A no-show may include:

  • Not arriving at the pickup point.

  • Not answering calls or WhatsApp messages.

  • Failing to provide access to a project site.

  • Failing to receive the assigned vehicle or equipment.

  • Missing an airport pickup after driver arrival.

  • Not using a confirmed hotel, flight, vehicle, or equipment booking.

  • For all no-show cases, Ride Vendor Limited may charge the full booking amount.

  • No refund applies to a no-show.

If a customer later wants to reschedule, Ride Vendor Limited may treat it as a new booking.

9. Refund Processing Timeline

Approved refunds are processed after Ride Vendor Limited confirms eligibility.

For Paystack and Flutterwave payments, approved refunds usually take 3 to 7 business days.

This timeline starts after refund approval, not from the cancellation request date.

Refunds may take longer due to:

  • Bank processing delays.

  • Card issuer delays.

  • Public holidays.

  • Incorrect bank details.

  • Payment gateway review.

  • Failed transaction reversal.

  • Third-party provider delays.

Where payment was made by bank transfer, Ride Vendor Limited may request account details before processing the refund.

Refunds are usually made to the original payer or original payment method.

Ride Vendor Limited may refuse third-party refund accounts if the request appears unsafe, fraudulent, or inconsistent with the original booking.

10. Force Majeure

Force majeure means an event beyond reasonable control.

  • Civil unrest.

  • Security threats.

  • Fuel scarcity.

  • Strike action.

In a force majeure situation, Ride Vendor Limited may offer rescheduling, service credit, route adjustment, substitute vehicle, substitute equipment, or partial refund where possible.

However, refunds may be reduced by costs already incurred.

These costs may include driver assignment, equipment mobilisation, partner payment, fuel purchase, third-party booking charges, or administrative costs.
